Managing Expenses

To efficiently manage your expenses, use the filters at the top of the page to define the scope of data you’d like to load. This allows you to quickly focus on the most relevant information for review or export.

Each column's filter dropdown lets you combine multiple conditions together. You can now choose between +AND and +OR when adding additional rows, giving you finer control over how the table is filtered.

  • +AND — all conditions must be true (existing behavior)

  • +OR — any of the conditions can be true

The selected connector is enforced uniformly per column: a single column cannot mix AND and OR at the same time, ensuring filter results stay predictable. Different columns are still always joined by AND between each other.


Example 1 — Range with AND (potential cashback between €10 and €100)

If you want to view only expenses where the potential cashback is between €10 and €100, follow these steps:

  1. Click the filter icon on the Potential Cashback column.

  2. Choose "Greater than" and enter 10.

  3. Click +AND, select "Less than or equal to," and enter 100.

  4. Click Apply filter.

The table now shows only expenses where the potential cashback is greater than €10 and less than or equal to €100.


Example 2 — Either / or with OR (missing or specific vendor)

If you want to view expenses that are either missing a vendor name or come from a specific vendor, use the new +OR option:

  1. Click the filter icon on the Vendor Name column.

  2. Choose "Is empty" (no value needed).

  3. Click +OR, select "Contains," and enter Amazon.

  4. Click Apply filter.

The table now shows expenses where the vendor name is empty or contains "Amazon".


Applied filters are always visible

Every active filter — both scope filters (Billed By, Account Manager, etc.) and column-level filters — appears as a removable chip above the table.

  • Click the × on any chip to remove that filter.

  • OR-grouped filters collapse into a single chip with a popover, so you can remove individual conditions from within the group or clear the whole group at once.


Share filtered views by URL

Whenever you change filters, the URL in your browser updates automatically. To share a filtered view with a colleague:

  1. Apply the filters you want.

  2. Copy the URL from your browser's address bar.

  3. Send it to your colleague — when they open it, the Manage Expenses table will load with the exact same scope, column filters, and AND/OR connectors applied.


Batch Actions

This feature is particularly useful when willing to apply an Action on all filtered lines, as an example searching for specific keywords. In that example, when you search for specific Keywords using OCR the system creates Tags for each search you do. Batch actions → Keywords search with OCR. When done, in your Manage Expense Table, if you’ve created tags, you can filter expenses based on existing Tags to retrieve your expenses including the Keywords searched with OCR. Hidden Fields

Click on Hidden Fields to access additional sorting options. These are grouped into categories like System Fields, Company Information, Invoice Details, Invoice Values, VAT Claim Information, Smart Checks, Optional Fields, Finance, and AI/ML Extraction.

Simply check or uncheck the boxes to include or exclude specific parameters in your table view.

To save your preferences, click on Save Preferences to update your current view:

You can easily switch between views and choose to display totals in either Euros or your local currency.

To export your data from the Manage Expense table, click Export to download it as an Excel or CSV file.

Users run exports directly from here, but only if they fall into one of the following categories:

  • Home company user of Expert;

  • Home company user of Technology only;

  • Given explicit permission in the User Permission settings.

If a user is not eligible to export mass data, they'll see the following message:

Once the export is initiated, you'll receive an email notification when your file is ready, usually within 1-15 minutes, depending on the size of the filtered data. You can also monitor the status of the export in the Running Jobs report under the Reports tab:

These filters streamline your workflow, ensuring you’re always working with the most relevant data.
