To activate DevoluIVA a sub service provided in Spain to correct non-compliant invoices, the client must establish an additional contractual agreement with VAT4U before activating the integration.
Activation Steps:
Contract Agreement: As a VAT4U client, you need to set up an agreement with DevoluIVA directly; you cannot use VAT4U's contract leverage.
SFTP Setup: VAT4U will use the details below to connect to your DevoluIVA instance and retrieve CSV files from the specified SFTP output directory path:
Data Retrieval:
After the activation, data can be retrieved as needed.
Additional Notes:
Direct communication with DevoluIVA is crucial for initial setup.
Ensure that all activation steps are followed correctly to avoid delays
Troubleshooting
If your invoice correction requests through DevoluIVA seem stuck - nothing is being sent, nothing is coming back, or an entity you expect to be connected doesn't seem to be working - most of the time you can find out why yourself in under five minutes. Run through the checks below; if they don't resolve it, they'll also make your support ticket much faster for us to handle.
Step 1 - Check whether the connector is active for your entity
Go to Company Settings → Connectors.
Find the DevoluIVA card and open it.
3. Look at the Status field at the bottom:
Active - the connector is switched on for this entity.
Inactive - it isn't, and that alone explains why nothing is being sent to or received from DevoluIVA.
If you manage more than one entity or company, check this per company - each one has its own independent status. An entity showing Inactive is the single most common reason corrections stop moving.
Confirm the entity is active on DevoluIVA's side too
The Status field in Step 1 only reflects our side of the connection - it doesn't confirm that DevoluIVA has the entity active and ready to send or receive files on their end. These are two separate systems, and either one can be the reason a transfer doesn't go through.
Contact your DevoluIVA representative directly and ask them to confirm that the entity is active and onboarded in their system.
If they confirm it isn't, ask them to reactivate it or complete onboarding on their end - this happens entirely within DevoluIVA and isn't something VAT4U can do on your behalf.
Once DevoluIVA confirms the entity is active on their side, continue with the checks below.
Ruling this out first saves time, since it's a common cause that has nothing to do with VAT4U.
Step 2 - Reactivate it yourself
If Step 1 showed Inactive, you can request it directly from the same screen:
On the DevoluIVA card, click Request activation (if you already have the connection details for this entity, you can instead click Activate DevoluIVA Integration and enter them yourself).
2. You'll get an on-screen confirmation once the request goes through.
3. Our team is notified automatically and will follow up to confirm the entity is active.
Note: deactivating and reactivating never affects data you've already sent or received through the connector - it only controls whether new transfers happen.
Step 3 - Check the connection (SFTP) details
Once the entity shows Active, confirm the transfer path itself is correctly set up:
On the DevoluIVA card, click Show connection details.
2. Check the SFTP output directory path field - this tells the connector where to send and read your entity's files.
3. If it's empty, or doesn't look right for this entity, click Edit, correct it, and Save connection details.
An Active status with a missing or incorrect path is a common reason files stop flowing even though the connector looks "on."
Step 4 - Check whether files are actually flowing
Status and connection details being correct doesn't always mean transfers are happening - confirm it directly:
Still on the DevoluIVA card, scroll down to DevoluIVA Extraction Files. This lists every file retrieved through the connector, with the date it came in.
Compare against what you'd normally expect - if a batch that should have arrived by now isn't listed, that's a real sign something is stuck on the transfer.
For the specific expenses you sent for correction, open each one and check its Correction status:
Requested - sent, awaiting a reply.
Corrected - a corrected document has come back.
Rejected - the supplier declined the correction.
If a batch has been sitting on Requested well beyond your normal turnaround, and Steps 1-3 all look fine, that's worth flagging to us rather than continuing to wait.
When to contact VAT4U support
Reach out once you've confirmed one or more of the following - this means the issue is on our side, not something you can fix from your screen:
The entity shows Active, the SFTP output directory path is filled in correctly, but no files have appeared in DevoluIVA Extraction Files for longer than your usual cadence.
You requested activation in Step 2 and haven't had confirmation after a reasonable wait.
Expenses are stuck on Correction: Requested far past your normal turnaround, despite everything above checking out.
You received a notification about a failed or partially failed transfer, and re-saving the connection details in Step 3 didn't resolve it.
When you contact us, please include:
The company/entity name
The affected invoice or expense numbers, if applicable.
A screenshot of the DevoluIVA card showing the Status and, if relevant, the Extraction Files list.
This lets us start from where you left off instead of re-running the same checks.
