Yokoy Integration with VAT4U

VAT4U provides a direct connection to Yokoy, allowing you to extract expenses and invoices for automated VAT recovery via the Yokoy API.

The connector can be run on demand or on a schedule, depending on your needs.


Prerequisites

To set up the integration, you will need the following Yokoy API credentials:

  • Client ID

  • Client Secret

  • Organisation ID

You can generate these credentials directly in Yokoy.

How to obtain Yokoy API credentials

In Yokoy:

  1. Go to Settings

  2. Navigate to Integrations / API access

  3. Create a new API client

  4. Copy the Client ID and Client Secret

  5. Locate your Organisation ID

Activating the Yokoy Connector in VAT4U

Once you have the required credentials:

  1. Go to VAT4U β†’ Companies

  2. Select the company where you want to activate the connector

    • If working with a group of companies, it is recommended to activate the connector on the main group entity

  3. Open the Connectors tab

  4. Locate Yokoy and click the Yokoy icon

  5. Click Activate

  6. Enter:

    • Client ID

    • Client Secret

    • Organisation ID

  7. Click Save and Test connection

Once the connection is successful, the integration is ready to use.


Data Extraction from Yokoy

How extraction works

The extraction process retrieves data from Yokoy into the VAT4U buffer zone.
This means:

  • Data is not immediately imported into VAT4U

  • You can review and filter expenses and invoices before import

Extraction is based on:

  • The last modified date of expenses and invoices

  • The status of those records in Yokoy

You can configure these parameters before running the extraction.

Note: If you choose to extract invoices, the Legal Entity field is required. For expenses only, it is not required.


Running an Extraction

You have two options:

  • On-demand extraction – run manually when needed

  • Scheduled extraction – run automatically at defined intervals


Importing Data into VAT4U

After an extraction is completed:

  1. Go to the extraction list

  2. Click More next to the relevant extraction

  3. Start the Import process

This will move the selected data from the buffer into VAT4U for processing.
