The Smart AI tab offers you insights into your AI Transactions balance, as well as a complete history of changes to your balance. You can find this dedicated tab under your Home company settings.
This functionality helps you manage and optimise your use of the platform's AI capabilities effectively. Here's a brief overview of how it works.
May 2026 update
We have replaced the previous AI Credits unit with AI Transactions — a simpler, more transparent pricing model with predictable per-action pricing. Existing balances have been automatically migrated and a clearly labelled Migration entry is visible in your ledger so the conversion is fully auditable.
What are AI Transactions?
AI transactions are resources that allow your company to process documents and run AI actions within VAT4U. Transactions are assigned at the account (tennant) level and are shared among all users in the account, rather than being allocated to individuals.
How transactions are consumed
Pricing is flat and predictable — no more guessing how many credits an action will consume:

The Smart AI modal now shows an upfront cost estimate for every batch before you commit, so you always know what a batch will cost.
Purchasing AI Transactions
If your company runs out of transactions, additional transactions can be purchased through your company's admin on the VAT4U platform. Click the Purchase AI Transactions button to choose a package:

History of AI Transactions changes
The ledger inside the Smart AI tab records every change to your balance — purchases, AI usage debits, free-tier grants, and the one-time Migration entry from the AI Credits to AI Transactions switch. Each row shows the date, change, type, and a reference so the full history of your balance is auditable.
Smart AI Settings
In the Smart AI settings, you can specify patterns that Smart AI should identify when recognising different data points. For example:
PO Number Pattern (Natural): Describe the pattern in human language (e.g. "Starts with the letter P and has 5 digits").
PO Number Pattern (REGEX): Utilise REGEX pattern matching for advanced identification. REGEX is used to ensure that the input PO number follows a specific pattern. For instance, if your company's PO numbers follow a specific format, you can enforce that format by applying a regular expression during data entry validation.
Once you've defined your settings, remember to Save Smart AI settings to apply the changes.
A note on Free AI Transactions
In addition to purchased transactions, your company also receives free AI transactions based on your VAT4U arrangement:
License holders receive 1 free AI transaction for every €1 paid to VAT4U.
Example: a €250 license provides 250 free transactions.Non-license users receive 1 free AI transaction for every €2 paid.
Example: a €250 payment yields 125 free transactions.
A few things to keep in mind:
Free transactions are not allocated if there are any unpaid invoices.
Free transactions are valid for 12 months from the date of the invoice that generated them; any unused balance expires at the end of this period and is not carried over.
Outsourcing customers do not receive free transactions — AI Transactions are exclusively for technology users.
