What it does

The integration sends your SAP Concur expense reports to VAT4U, which works out how much VAT you can recover and whether each receipt is compliant. If you choose, VAT4U then writes those results back onto the expenses in Concur, so everyone works from the same record.

Why use it

  • No re-typing: expenses and receipts come over from Concur on their own.

  • VAT recovery and compliance results appear on the Concur expense itself.

  • You stay in control: nothing is sent back to Concur until someone on your team decides.

How information moves

Reports reach VAT4U automatically; result go back only when you act

Read-only mode uses arrow 1 only: nothing is written back to Concur.

Only the first step is automatic. Steps 2 and 3 happen only when a person in VAT4U clicks a button.

What moves

When

1

Concur to VAT4U

The report, its expenses and their receipts

Automatically, when the report reaches the step your Concur admin chose for VAT4U (External Validation)

2

VAT4U to Concur

VAT amount, recoverable VAT (cashback) and compliance result for each expense

When you push the expense

3

VAT4U to Concur

Approval of the report

When you click Approve, after every expense is pushed

What you see

  1. An employee submits a report in Concur. Nothing changes for them.

  2. The report appears in VAT4U, usually within a few minutes, with one expense per Concur entry and its receipt.

  3. VAT4U processes each expense. It reads the receipt, calculates the VAT and checks compliance.

  4. You review and push. Check the results, then push one expense or many at once. The results land on the expense in Concur.

  5. You approve the report. The report continues through your normal Concur approval steps.

Two ways to use it

  • Read-only: VAT4U only receives reports. Nothing is written to Concur. Good for starting out.

  • Bidirectional: VAT4U also sends results back and approves reports when you ask it to.

You can switch between them at any time in the integration settings.

Good to know

  • VAT4U never rejects a report. What to do with non-compliant expenses stays with your Concur reviewers.

  • Once a report is approved, its expenses can no longer be pushed.

  • Changes made in Concur after a report is imported are not copied to VAT4U.

  • The Concur Dashboard in VAT4U shows what needs your attention: blocked imports, expenses to push, reports to approve and anything that failed.
