Smart AI Data Enrichment makes filling in missing data easier than ever, enriching existing records, and getting clearer insights on your expenses.

How It Works

  • Head over to the Manage Expenses section and click Go to load your data;
  • Apply filters to narrow down the data to a specific batch of invoices;
  • After filtering, you’ll see a list of expenses. All invoices must have documents attached for the Smart AI feature to work properly.
  • Click on the Smart AI button, then select Data Enrichment:
  • Next, you’ll find a Smart AI Batch ID (Tag), which helps track and review the retrieval job and the number of documents ready for processing, as well as # of missing documents if any:

Standard AI vs. Smart AI Advanced

You can choose between:

  1. Standard AI – uses fewer credits.
  2. Smart AI Advanced – more powerful and detailed, but consumes more AI credits.

For example, enriching 7 documents:

  • Standard AI uses around 24,500 credits.
  • Smart AI Advanced uses about 28,000 credits (approx. 4,000 credits per document)

Click Start to begin the enrichment process. You’ll see a friendly message suggesting you grab a coffee — the process may take a few minutes.

Track Progress in Reports

Once the enrichment starts:

  • Head to Reports > Running Jobs to monitor progress
  • You’ll see a tag for Smart AI Data Retrieval along with job status.

Review AI Results

Back in Manage Expenses, once enrichment is done. A small bubble next to the Smart AI button will appear, showing how many AI enrichment results haven’t been reviewed yet:

Just click on it and then press Show previous Smart AI results:

A checkmark means the results have already been viewed:

Click into the results to see:

  • Number of expenses where Smart AI identified particular field information;
  • Number of expenses where Smart AI identified particular field information, and it matches your original data;
  • Number of expenses where Smart AI identified particular field information, and it is Different from the original data;
  • Number of expenses where Smart AI identified particular field information, and it was Empty in the original data:

Click on any of the numbers to dive deeper into those specific invoices and compare the AI-enriched data to the original entries:

Use AI-Retrieved Values

Leverage AI-retrieved values to quickly enrich your data with minimal manual effort.

Applying Your Preferences

For each data field, you’ll have three choices:

  1. Use only if empty – This option will update the field only if it's missing in the original invoice.
  2. Use if different or empty – This will override the original field if it’s either missing or different from the SmartAI data.
  3. Do not use – The original invoice data remains unchanged, and SmartAI input for that field is ignored.

Review each field and choose the most suitable option depending on your update strategy. For instance, if the "Country of Refund" is often missing, you can set it to Use only if empty. Click Next to see a summary of how many expense records will be updated based on your selection:

Exporting the Data

Once your preferences are set, you can also click Export Current Data to download a CSV file of the updated records. You can track the enrichment progress on the Running Jobs page, where you’ll also find logs to help identify any issues—for example, if certain categories don’t match the selected refund country, they may be marked as “To Be Verified.”

Please note that this action is not reversible once started!

 

Data entry "AI" marked fields

After processing, feel free to go to the Manage Expenses table again and see results.  The overwritten fields will now be marked as sourced from AI, making it easy to identify which data was updated:

Use filters to view the data source and easily identify which expenses were enriched by AI and which were manually updated:

As the filter suggests, users can also track whether a field was imported through mass data upload, manually entered via data entry, or automatically calculated based on system-applied VAT rates.
