The VAT4U Travel Mobile Application is a handy tool that helps employees receive VAT-compliant invoices when traveling for business. It syncs with your company's cloud-based VAT4U account, ensuring all necessary company details are easily accessible. In this guide, we’ll walk you through the setup and usage of the app so you can focus on your business trip without worrying about VAT recovery.

Why Use the VAT4U Travel App?

When traveling for business, it’s essential to collect compliant invoices for expenses like hotel stays or meals. Without the correct details — such as your company's name, address, and VAT number — your invoice may not be valid for VAT recovery in some countries. VAT4U Travel app solves that problem by allowing employees to easily display company information for invoicing, ensuring that invoices meet the necessary legal requirements.

Setting Up the VAT4U Travel Mobile App

Download the App
The VAT4U Travel app is available on Google Play for Android devices. Download and install it on your mobile phone to get started.

Insert Your Company ID and Secret Key
During the registration process, you'll be asked to enter your Company ID and Secret Key. These codes can be found in your company’s settings on the cloud-based VAT4U platform. They are necessary to sync the mobile app with the web app and make sure the company details are populated correctly.

Provide Your Details
After entering the codes, you'll move to a screen where you can provide your First Name, Last Name, and optionally, your Title (e.g., Mr., Mrs., Dr.). These details will be used to populate the invoices later.

Enable Geolocation
To make the process smoother, you can enable geolocation. This feature ensures that the app automatically adjusts the language based on your current location. For example, if you’re in Germany, the invoice request will be displayed in German, making it easier to communicate with local personnel.

How to Use the App While Traveling

Once the app is set up, it’s incredibly simple to use. Here's what you do when you need a VAT-compliant invoice:

Show the App at Checkout
When you're at a hotel, restaurant, or any other business, open the app and show your
screen to the cashier. The screen will display all the essential company details that need
to be included on the invoice:

  • Company Name
  • Address
  • ZipCode
  • City
  • Country
  • VAT Number

Localized for Your Convenience
Thanks to geolocation, the information will be displayed in the local language, if applicable.

Make Sure the Invoice is Correct
Ensure that the business issues a compliant invoice with all the necessary information. In some countries, like Italy or Spain, every detail—company name, address, VAT number—must be included for VAT recovery. In other countries, a simpler invoice might suffice, but it’s always best to have everything.

Control and Monitoring

No Sensitive Information
The app does not contain any sensitive company data. It only displays public information such as the company's name, VAT number, and address, making it easy and safe to use.

Company Management
While employees can activate and use the app independently, the company’s manager can see who has activated the app and when it was last used. This includes:

  • First Name
  • Last Name
  • Title
  • Activation Date
  • Last Update (last time the app was used)

However, managers cannot deactivate or manage the app — it's purely for tracking purposes.
