VAT4U is an SAP Concur partner. We seamlessly integrate with SAP Concur via the SAP Concur App Center or through the client web services. However, since we have a partnership with Concur, only activation via the Concur App Center should be used by the new customers.
How to connect in 2 min:
Where is the SAP Concur connector located in VAT4U?
To access the SAP-Concur connector in VAT4U (app.vat4u.com), open the company profile, then click on Connectors and select the icon of SAP Concur.
Activation Steps:
Obtaining activation code: To obtain an activation code, users should contact VAT4U Support requesting the Concur connector activation code for their company.
Connector activation: Users can locate the VAT4U Partner Application from the SAP Concur App Center and follow the on-screen instructions to complete the activation process.
Old clients who are using Client Web Services follow a different approach to activate the Concur connector. This can be done from the connectors module in VAT4U, by providing specific access details for Concur API.
Provide the connection details: The web services admin user must first set the OAuth Application in the SAP Concur client environment to obtain the Client ID and Client Secret. This information should be fed to the Concur connector in VAT4U together with the Web services admin details.
Save Connection Details: After inputting the required information, users save the connection details.
API Test: The system will run a test of the API connection, and the connection details will be encrypted and stored in VAT4U's database for the subsequent data retrieval from the SAP Concur.
Data Retrieval:
Travel reports and expense data from SAP Concur can be pulled to VAT4U at scheduled intervals or as a one-time data pull. Each data pull is based on the filters specified by the user. Filters include Travel report status, payment date, and transaction date, among many others. Pulled data is stored in a buffer area. Data is stored in the original format retrieved from Concur in the CSV format which is used to import data to the VAT4U master database. Users can decide to purge the originally retrieved data from the buffer area once the transformation process is finished. The process may take several hours if pulling large amounts of data (hundreds of thousands of invoices), while smaller requests can take just minutes.
Users will receive an email notification when the retrieval is complete. Upon receiving the
email, users can return to VAT4U to review the data that have been retrieved. At this stage user can decide to purge data for the specific entities.
To import the data into VAT4U, users should click "Import Data." The wizard-like process guides the user through the import steps. Once the user finalizes the import process, the system will pull the available expense documents for the imported expenses.
Additional Notes:
- The integration does not import nor modify any data into your Concur environment. We utilize a read-only approach to pull the data from Concur.
- Expense attachments will be downloaded only after the data is imported into VAT4U.
- For legacy activations via web services, clients should contact VAT4U support.
