General Information
Click on My Account in the bottom left corner, then on Home company settings → General information to add/edit all the information about your company, such as company VAT registrations and billing information.
Under the General Information tab, you can insert the name of the company, its address, contact email one and two (optional) which can be used for communication.
By default, contact email 1 is set up as the Default claim submission email and will be used in this company's future claim submissions. The default claim submission email can be updated either from this page or through the 'Create VAT Claim' module.
Company business activity settings
When setting up your company’s business activities, you'll need to enter a NACE code using dot notation or select the appropriate activity from the dropdown menu, which will automatically fill in the code for you. This feature is helpful if you're unsure of the specific NACE code, as you can search for your activity first. If you want to ensure the accuracy of the information, please consult your company’s official report or reach out to your finance department.
The NACE code is a mandatory field and cannot be skipped. The Statistical Classification of Economic Activities in the European Community (NACE) is the industry standard classification system used in the European Union. It groups organizations based on their business activities and is primarily used for statistical purposes. Each NACE code corresponds to a statistical unit that conducts the economic activity it designates.
The first activity you enter will be used for filing VAT claims. However, you can add additional activities by clicking on the plus sign:
Different tax portals across various countries may require different information, so it's advisable to have a full list of a company’s activities readily available in the system.
Non EU based Companies: If your company is not based in the EU, you must fill in the Business Activity Description, as this is mandatory for non-EU companies. Once you have completed the necessary fields, remember to save your business activity settings.
Important Considerations
You also need to specify if your company is involved in any of the following activities, as special VAT recovery rules may apply:
- Car leasing companies, car rental companies, taxis, or similar transport services
- Transportation companies (trucks)
This information is essential as it relates directly to the activities connected to the expenses in your VAT claim and may impact your VAT recovery process.
Please note that any changes you make regarding your company’s activity will not affect invoices that have already been processed by the system prior to this change.
Company group
The platform allows you to organize multiple entities under the main entity, making it easier to navigate and generate reports.
To set this up, start by selecting your main group entity from the dropdown menu. You’ll also have the option to enter an Account Number or Short code. The Short code serves as a quick identifier used by some companies, especially those with many entities, for faster recognition and classification in reports.
Once you've made your selections, click on Save group data to ensure your changes are recorded.
